Project Coordinator, Convening (contract)

We are seeking a Project Coordinator to join the Convening team in several capacities. This role will support all convening products.

Reporting to the Manager, Program Development and Sponsorship, this is a full-time maternity leave replacement and is available as of October 1st.

Principal Duties

  • Create, update and maintain all conference websites and registration pages.
  • Populate all back-end entries in our customer database (iMIS) related to conference websites and posting online conference agendas.
  • Create and update post-event and presentation webpages for each event.
  • Post sponsor logos on conference websites as they are confirmed.
  • Post images and embedded videos on conference websites as needed.
  • Maintain the critical path for each event and ensure all deadlines are met.
  • Schedule and provide documents for all kick-off, agenda, and debrief team meetings.
  • Work with all stakeholders to champion marketing pieces through proofing and production process.
  • Ensure all Program Developers are provided with all necessary guidelines, templates and materials.

Skills & Qualifications

  • Minimum of two years of related experiences in a customer focused environment.
  • Experience and knowledge of HTML coding.
  • Experience working in Photoshop, InDesign, and Adobe Pro are an asset.
  • Advanced skills with Microsoft Office suite, particularly Excel and Word.
  • Excellent oral and written communication skills.
  • Ability to manage competing priorities and meet tight deadlines in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and in a team.
