Associate Relations Manager - The Niagara Institute

Overview

The Niagara Institute is seeking a Manager of Associate Relations. This position plays an important role in the coordination and support of Associates and all related process and practices. This position reports to the Director, Business Operations and is a non-union management position, is available immediately and is located in Niagara-on-the-Lake, Ontario.

Principal Duties

  • Scheduling of Associates ensuring full utilization while following the Associate Assignment Guidelines for all lines of business through the monitoring of program confirmation, registration levels, agenda changes and executive coaching assignments.
  • Issuance and tracking of purchase orders for all Associate assignments and related budgets.
  • Provides various reports relating to Associate assignments, evaluations, types of work performed and availability on a group and individual basis.
  • Responsible for the collection, creation and maintenance of all Associate information, including but not limited to; associate contracts insurance renewals, statements of work, internal training documentation, instrument/simulation/coaching certifications, education, industry experience, biographies, performance/quality control measures, payment summaries, client interactions.
  • Assists in the tracking and monitoring of quality control issues relating to Associates – report creation, dubbing of feedback sessions, collection of all associate assessments/reviews.
  • Assists in the coordination of Associate recruitment, training, material compilation and certification sessions.
  • Maintaining a current Associate intranet site and social media networks i.e. LinkedIn Niagara Associate Network.
  • Coordinate and setup of Niagara Associate Network meetings via various technical platforms.
  • Apply technology applications to simplify, manage and track Associate assignments to ensure the optimal use of Associate time.
  • Creation and maintenance of processes and procedures relating to both associate work and that of the role.
  • Scheduling of conference centres and facilities for program related services ensuring rates and service levels are maintained.
  • Handling of confidential information with sensitivity, discretion and respect.
  • Internal and External Relationships – maintains positive and effective working relationship with management team, all Niagara and CBoC staff, associates, consultants and supplier.

Skills & Qualifications

  • Minimum College diploma with focus on business administration.
  • Minimum 5 years experience in administration within a professional organizational environment.
  • Business minded with a demonstrated ability to use solid judgment and effective decision-making.
  • Outstanding interpersonal skills, including developing and maintaining relationships in a positive and effective manner while being approachable and diplomatic. 
  • Excellent written and oral communications.
  • Superior organizational skills in a highly confidential environment - managing multiple, varied and conflicting priorities under the pressure of deadlines.
  • A resourceful self-starter with a demonstrated ability to learn new tasks quickly.
  • Superior technical skills including an above average understanding and ability to work within internet based and contact management platforms; web page modification, web based social networks, online scheduling systems, uploading and linking of internet based documentation, Microsoft Word, Excel, PowerPoint, Outlook, IMIS.
  • Bilingualism would be an asset.
